  • Take necessary security measures to protect your personal data. We also impose these obligations on parties that process personal data for us;

  • Respect your rights, such as the right to access, correct, or delete your personal data processed by us. Your data is safe with us, and we will always use this data neatly. In this privacy and cookie statement, we explain what we at Dialog do with information that we learn about you when you use our services or when you visit our website.

You can contact us in various ways to ask questions or make requests. You are also always welcome to give us your feedback. To answer your questions or fulfill your requests, we process your personal data. You can contact us in different ways, such as by phone or email. For this, we process the following personal data:

  • Company name (optional)

  • Any personal data you include in the message

 

We use this data to handle your request neatly. When you contact us, we process the data based on your consent. We keep this data for as long as necessary to fully answer and handle the question or the content of the email or for the correct registration of your data as necessary.

 

Our Platform

If you subscribe to the Dialog application, we process several personal data to deliver the service. We also use this information to contact you about the service. We process for delivering our services:

 

  • First and last name

  • (Business) email address

  • Phone number (optional)

 

This data is processed based on the execution of the agreement. We keep this data for a maximum of 1 year after our service has ended. We keep some of this data longer in accordance with legal tax retention obligations.

 

Creating an Account and Support

To use our software, you first need an account. Your employer, a colleague, or a Dialog employee can create an account name for you, and you create a password yourself. Within this account, you can also request software support. We process the following data for the account request and support:

  • First and last name

  • Address details

  • Email address

  • Phone number

  • Any personal data you share with us in the messages

 

This data is processed based on the execution of the agreement. We keep this data for a maximum of 1 year after your account is deactivated. We keep some of this data longer in accordance with legal tax retention obligations.

 

Logging into Account

After creating an account, you need to log in to use the software and view your information. For logging in, we use the following data:

 

  • Login details (email address and password)

 

This data is processed based on the execution of the agreement. We keep this data for a maximum of 1 year after you deactivate your account.

 

Newsletter

We have a newsletter, and you are added to the list of subscribers only with your consent. We regularly send a newsletter with interesting insights about environmental management, new releases, and events. You can subscribe to our newsletter on our website. For this, we use the following data:

  • Name

  • Email address

 

We process this data based on your consent. We keep this information as long as you are subscribed to our newsletter.

You can cancel the newsletter subscription at any time. You can unsubscribe at any time via the unsubscribe link in the newsletter. When you unsubscribe, we keep your data for a maximum of 30 days.

 

Requesting a Demo

You can request a demo on our website. This demo shows what Dialog can do for you and your organization. When requesting a demo, we use the following personal data:

  • Email address

 

This data is processed based on the preliminary phase of the potential agreement we have with you. We use this data to contact you about the demo. We keep this data for a maximum of 1 year after you have received the demo.

 

Requesting a Trial

You can request a 30-day trial of Dialog on our website. During this trial period, you can try out Dialog for free and see if it suits your personal work style and environment. When requesting a trial period, we use the following personal data:

 

  • Name

  • Email address

  • Phone number (optional)

  • Organization name (optional)

 

These data are processed based on the preliminary phase of the possible agreement we have with you. We use this data so we can start the trial with you and contact you about the progress of the trial. We keep these data for a maximum of 1 year after you have received the trial.

 

Analyses

Dialog uses analytical tools. Below, you can find more information about the use of these tools.

 

Analyses on the Platform

We use various analytical tools to analyze your use of Dialog. We do this to better serve you in your use of Dialog for support questions and to improve Dialog. For these analyses, we process the following data:

 

Click behavior

This data from the analyses on the platform and the newsletter is processed based on your consent. We keep this data for a maximum of 1 year after our service to you has ended.

 

Analyses on the Newsletter

We use cookies to track whether you open our newsletter. At the bottom of this privacy statement, you can find which cookies we use for this purpose. We do this for marketing purposes and to optimize our newsletter. For these analyses, we process:

 

Click behavior

This data from the analyses on the platform and the newsletter is processed based on your consent. We keep this data for a maximum of 1 year after our service to you has ended or you have unsubscribed from the newsletter.

 

Applying for a Job at Dialog

You can apply for a job with us. We process the following personal data when you apply with us:

 

  • First and last name

  • Email address

  • Address details

  • Place of residence

  • CV and the data it contains

  • Data from the motivation letter

 

The above data are necessary so we can contact you about your application and assess whether you are suitable or could be suitable for the position. We use this data in preparation for potentially concluding an employment contract.

 

We keep your data for a maximum of four (4) weeks if it turns out you did not get the job. We may ask you to keep the data longer because we might have a suitable position for you in the future. We then ask for your permission to keep the data for another one (1) year for our vacancy alert. You can withdraw your consent at any time by sending us an email. When you enter into employment with us, we keep your application data in the personnel file.

 

Part of the procedure may include a social media and Google search. This is necessary to ensure that our image remains intact when hiring new staff. We do this based on our legitimate interest. We search for your name on Google and your potential profiles on various social media, provided that these profiles are public. If we conduct such an investigation, the results will be discussed with you. If you object to this investigation, you can indicate this by email when you apply.

 

Disclosure to Other Companies or Institutions

We only share your personal data with third parties when this is permitted under current legislation. It may happen that we provide your personal data to third parties because we have engaged them to process certain data, for example, if:

 

  • it is necessary to perform the agreement with you;

  • you have given permission for this;

  • we have a legitimate interest in doing so;

  • we are legally obliged to do so (for example, if the police demand it in case of a suspicion of a crime).

It may be that for our service we use parties located in a country outside the European Economic Area ('EEA'). We only use such a party if one of the following situations applies:

 

  1. This recipient is located in a third country which the European Commission has indicated has an adequate level of data protection (an adequacy decision).

  2. The recipient of the personal data offers appropriate safeguards (for example, through EU standard contractual clauses).

  3. We have received your explicit consent for this.

 

WhatsApp Business

When you integrate your WhatsApp Business account for use in Dialog, you give us access to your business account. We only use this to retrieve messages from WhatsApp so you can respond to them from within Dialog. You can revoke this access at any time from the Dialog application.

 

Cookies

On our website, we use cookies and similar techniques, such as pixels (hereinafter: cookies), from ourselves and third parties. Cookies are information files that can be automatically stored on or read from the visitor's device (such as PC, tablet, or smartphone) when visiting a website. This happens via the web browser on the device. We and third parties use cookies to:

 

  • Enable website functionalities (technical and functional cookies).

  • Analyze the use of the website and make the website more user-friendly based on that (analytical cookies).

  • Show personalized advertisements (marketing cookies).

General visit data is tracked on the website. In this context, especially the IP address, any debtor number, the time of retrieval, and data sent by the browser can be registered and used for statistical analyses of visit and click behavior on the website. We use Google Analytics to track how users use the website. The information, including your computer's address (IP address), is transferred to and stored by Google on servers in the United States. We have no influence over this. We have not allowed Google to use the obtained analytics information for other Google services.
